Baarista
An all-in-one cafe management system built to solve the problems we faced running our own cafes
The Problem
Running a cafe in Vietnam means juggling staff schedules across Google Sheets, coordinating clock-ins through WhatsApp groups, and calculating weekly labor costs by exporting data and doing math in Excel.
We know because we run cafes ourselves. Every week was the same chaos: "Did Như clock in?" "What's our labor cost looking like?" "Who's supposed to be here right now?" We needed something better.
The Solution
Baarista consolidates everything into a single PWA that works on any device—phone, tablet, or desktop. The manager dashboard shows today's schedule with real-time clock-in status. You can see at a glance who's working, who's late, and who's coming next.
Labor cost tracking shows estimated vs. actual costs in Vietnamese Dong, updated live as employees clock in and out. No more end-of-week surprises.
And because we couldn't resist—Cafe Radio. Staff can control the cafe's music queue right from the app, pulling from YouTube Music. No more fighting over the aux cord.

The Result
What used to take hours of coordination now happens automatically. Managers see everything in real-time, in one place. Staff know exactly when they're scheduled without checking multiple apps.
The bilingual interface (Vietnamese/English) means it works for our local staff and any expat managers. And the Cafe Radio feature has become everyone's favorite—turns out people really like controlling the music.
